Staff sign in with their PIN. Managers and admins sign in with a username and password. If your session lapses you are sent back to the sign-in page with a message saying so; sign in again and carry on.
Clock in from the sign-in screen at the start of your shift and clock out at the end, using your fingerprint or your clock code depending on how your shop is set up. Clocking only works on a terminal that has been registered, so it cannot be done from a phone at home.
Tell your manager. The entry stays open and is reported to them, and they can correct it. The system will not invent a finishing time for you.
Managers open Timesheet to see who worked and for how long. Each person has their own Approve button, and there is also "Approve everyone this day".
Clocked hours are paid whether or not they are approved in this shop, so approving is your check on the figures rather than a gate on them. That makes it worth looking at a day before the pay run, not after: an entry that reads 24 hours will be paid as 24 hours. You can change this under Settings, "Only approved hours count toward pay".
Where clock times are settled onto regular blocks, the timesheet shows the settled time with the time actually clocked beside it, struck through, so both are visible. A Late column shows minutes late where somebody was.
To correct a time, open the entry, change it and save. The original stays on record.
Staff request leave under My Holidays. A manager approves or declines it under Holidays. Approving leave beyond somebody's balance asks you to confirm rather than silently going negative.
Leave that has already finished cannot be requested weeks later, so ask staff to log unplanned absence as soon as they return.
Build a pay run for the period, check the payslips, then send them. Each payslip can be opened as a PDF and sent to the employee by WhatsApp or email, depending on what is on their record.
If a locum has no payslip, check their hours are approved: their payslip is built from approved days.
Add people under Employees. Each person gets a PIN for signing in and a clock code for the time clock. If somebody has no phone or email on record, their code cannot be sent to them, and they carry an amber "code not sent" badge until it is.
Regenerating a code stops the old one working, so the system confirms first and offers to send the new one.
Managers assign shifts by person and day. Everyone can see the whole schedule. Staff can ask a colleague to swap a shift, and the colleague has to accept before it moves. Approved leave marks somebody unavailable.
Your company details, branding, pay rules and the number that receives automated messages are all under Settings. The company details there appear on receipts, payslips and the legal documents, so it is worth filling them in completely.
If a screen will not load or a figure looks wrong, note what you were doing and tell whoever supports your system. Quoting the version below helps, because it says exactly which build you are on.
