1. Who we are

These are our own terms. The software itself is licensed from PhiriMasters under separate terms of service.

2. Using this system

Access is personal. Your login, your PIN and your clock code identify you, and anything done with them is treated as done by you. Do not share them, and tell a manager at once if you think somebody else knows them.

Look only at what your job requires. The system records who did what, and those records are kept.

3. Attendance and clocking

You clock in when you start and out when you finish. The time recorded is the time you actually clocked, and it is kept exactly as recorded.

When a manager checks the timesheet they may settle the day's clocked times onto regular blocks. Where they do:

The time you actually clocked is always kept alongside the settled time and is shown on the timesheet, so you can see both, and a manager can put a day back as it was. If you think a time is wrong, raise it with your manager, who can correct it.

Your clocked hours count toward pay whether or not a manager has approved them. Approval is a check we carry out, not a condition of being paid.

4. Pay and payslips

Your payslip is issued each pay period and is available to you in this system. Your salary is stated as the amount you receive after statutory taxes and levies have been accounted for.

Deductions that may appear on your payslip include loan repayments you have agreed to, till shortages and stock shrinkage where these apply to you. Any deduction is shown as its own line so you can see what it is. If you do not agree with one, raise it with your manager before the next pay run.

5. Leave

Leave is requested through this system and must be approved before it is taken. Leave already finished cannot be requested after the fact beyond a short grace period, so tell a manager as soon as you are back from unplanned absence.
